Gulf Coast Division Board Meeting
December 5, 2021

I. Call to order
Adrien Dessens called to order the Board meeting of the Gulf Coast Division at 1:09 pm on December 5, 2021, on Zoom.
II. Roll call
Liz Mayerich conducted a roll call. The following persons were present:

· Chuck Wemple, Treasurer
· Kathy Machol, Galveston Fencing Club
III. New Business
a) Financial Report – Chuck Wemple presented the treasurer’s report for August 1-December 5, 2021. This report is included in these minutes. The Division account has been updated to include the current officers, the only expenditure was on the new website, and the current balance is $5,318.06.
b) Division Coaching Clinic – Adrien Dessens discussed the possibility of the Division hosting a coaching clinic. Board members discussed the format, goals and other logistics of a coaching clinic. The primary goal would be for newer coaches to learn about planning lessons and drills, it would be a three-weapon clinic, and the fee to enter would be nominal with most costs handled by the Division. Liz Mayerich will follow up with Vinnie Bradford, who has expressed interest in hosting a coaching clinic in Houston.
c) Other Business –
i) The board discussed holding a meeting of the membership to discuss moving the border. Officers felt that we should meet with Grace of Coastal Bend Fencing privately first.
ii) The next officer meeting will be January 22 or 23. The next board meeting will be February 26.

Subject: Treasurer’s Report - Division Meeting - December 05, 2021

This memorandum constitutes my Treasurer’s report for the period of August 1, 2021 through December 05, 2021. An overview of Treasurer activities completed to date, our recent account balance, and pending activities is included below.
Required Reporting
I’ve submitted all required reports for the 2020-2021 season to USA Fencing by their respective deadlines. These include the Annual Division Officers Report on 10/31/2021 and the Financial Report on 11/30/2021. Confirmation received from Sarah Ross at USA Fencing. Copies of the Officers Report provided to all Division Officers. Copy of the Financial Report provide to Division Chair.
Financial Institution Activities and Transactions
We have updated the Division account to reflect current Officers. The Officers obtained a single debit card for the Division bank account to better manage financial transactions such as web-hosting for the Division website and to increase overall efficiency in business transactions. The card is in the name of the Chair, remains in his possession, and is available to the Treasurer for approved transactions in accordance with our bylaws.
Transactions between August 1, 2021 and December 05, 2021 are limited to the following. Payment to SquareSpace web subscription on 09/07/2021; amount $124.70 via debit card. Deposit of $396.00 on 10/25/2021 for 3rd and 4th Quarter USA Fencing Dues; $99.00 and $297.00 respectively.
Current Balance
As of 12/05/2021 our current balance is $5,318.06.
Pending Treasurer Activities
Completion of annual Division equipment/assets inventory (anticipated by end of January 2022).
